Documents Provided by the Employer


These documents form the foundation of your application and confirm that your employment is legal and genuine.

 

Work permit

 

This is a key document issued by the Voivodeship Office that authorizes you to take up employment with a specific employer. 

 

Official invitation

 

This document substantiates the purpose of your visit and is often required by the consulate as confirmation of the host entity’s intent. 

 

Letter of intent regarding employment

 

In this letter, the employer declares the intention to establish cooperation and specifies the conditions under which you will be employed. 

 

Proof of accommodation


You must demonstrate that you have a place to stay (e.g., a rental agreement or a declaration from the employer providing accommodation), which is necessary to verify living conditions. 

 

Documents on the Applicant’s Side


Your task is to prove your identity, credibility, and financial security for the duration of travel and the initial period of stay.


Visa application form


The form must be completed fully and correctly, and every piece of information must be consistent with the other documents. 


Travel document


The passport must be valid for at least 3 months after the planned return, contain two blank pages, and have been issued within the last 10 years. 


Two biometric photographs


The photos must be recent, taken against a light background, and meet strict technical requirements regarding facial exposure. 


Copy of the passport data page and visas


Copies help officials trace your travel history and verify the authenticity of the main document. 


Copy of identity document with proof of residence


This confirms that you are applying within the correct consular district assigned to your place of permanent

 

Medical insurance


The policy must cover the entire planned stay in the Schengen area and guarantee coverage of medical costs up to the required amount. 


Document confirming financial means


Bank statements or income certificates must prove that you can support yourself in Poland until you receive your first salary. 


Certificate of no criminal record


This document must be officially legalized by the Ministry of Foreign Affairs, confirming your clean legal record. 


Document showing family composition (Fiche Familiale)


This allows verification of your family ties and personal situation in your country of origin. 

 


Most Common Reasons for Visa Refusal


Understanding why consuls issue negative decisions will help you avoid stress and additional costs.


Lack of credibility of the travel purpose


If the employer’s documents raise doubts or the company’s profile does not match your qualifications, the visa may be refused. 


Formal deficiencies


Incomplete signatures, outdated photographs, or lack of legalization of the criminal record certificate are the simplest path to refusal. 


Insufficient financial means


The amounts in your account must be realistic and adequate to the cost of living in Poland; a balance that is too low is a warning signal for the official. 


Errors in insurance


Policies often fail to meet the minimum required coverage amount (usually EUR 30,000) or do not cover the entire duration of stay. 


Doubts about the intention to leave the Schengen area


If the consul considers your ties to your country of origin too weak, they may suspect an intention to remain illegally in Europe after the visa expires.
